Privacy Policy

Last updated:

This Privacy Policy explains what personal information Woven Paw collects when you visit wovenpaw.shop, place an order or email us a photo of your pet, how we use that information, who it is shared with, how long we keep it and what choices you have. Woven Paw is the business behind this website, at 13 Fern Place, Mandeville, LA 70471, US. If anything here is unclear, write to support@wovenpaw.shop and we will answer within 24 hours on business days.

We sell embroidered pet apparel. Some of our pieces are stitched from a photo of your own dog or cat, so on top of the usual shop details (name, address, email) we also handle pet photos and short notes about your pet’s markings. This policy treats those photos with the same care as the rest of your information, and it explains exactly when they are deleted.

Your privacy in short

  • We collect what we need to make, ship and support your order, and nothing for resale.
  • We do not sell or rent your personal information to anyone.
  • Pet photos you email us are used only to stitch your order and are deleted 30 days after delivery.
  • Payment details are entered with the payment provider shown at checkout; we do not store full card numbers.
  • You can ask to see, correct or delete your information by emailing support@wovenpaw.shop.

1. What we collect and where it comes from

Information you give us when you order

When you check out we ask for your name, email address, shipping address, billing address. We also record what you bought: the product, the Color and size you selected, the Pets option on custom pieces and the price you paid. If you used the personalisation fields on a custom product, we store the pet name you typed (up to 12 characters) and the markings note (up to 140 characters) with your order, because we need them to stitch the piece correctly.

Pet photos and emails you send us

Photos are never uploaded on our website. For the five custom products, you email your pet’s photo to support@wovenpaw.shop after checkout, with your order number in the subject line. That email, the photo attached to it and any follow-up messages (for example, if we ask Raj for a brighter photo of his black labrador because the first one was taken at night) become part of your order record. Please send only photos you took yourself or have permission to use, and crop out people if you would rather they were not in the file.

Information collected automatically

When you browse the site, our web server and the security service in front of it record technical data such as your IP address, browser type, device type, the pages you open and the time of the visit. This is standard for any website and helps us keep the store working and protected from abuse. Your cart contents are remembered with a cookie so they are still there when you come back to the product page.

Account information

If you create an account on the My account page, we store your email, a securely hashed password, your saved addresses and your order history so you can check past orders without asking us.

2. How we use your information

Why we use each type of information
InformationWhat we use it forBasis
Name, addresses, emailProcessing your order, shipping it, sending order and shipping emails, answering your questionsNeeded to perform our contract with you
Pet photo, pet name, markings notePreparing the stitch rendering and embroidering your custom pieceNeeded to perform our contract with you
Order historyReturns, exchanges, refunds, store credit and record keepingContract and legal obligations
Technical and log dataKeeping the site secure, fixing errors, preventing fraudOur legitimate interest in a safe store
Support emailsAnswering you and keeping a record of what was agreedContract and legitimate interest

We do not use your pet photos for advertising, for training any software, for a gallery on our site or on social media. If we ever wanted to show a finished piece made from your photo, we would ask you first by email and use it only with your clear yes. Silence is not a yes.

We send emails about your order: the order confirmation, any question about your photo, shipping updates and replies to your messages. We do not add you to a marketing newsletter because you placed an order. If a newsletter is ever introduced, it will be opt-in and every email will carry an unsubscribe link.

3. Pet photos: how we handle and delete them

Pet photos are the most personal thing many customers send us, so they get their own section.

  • Who sees them: only the people who read our support inbox and the people who prepare and stitch your order.
  • What they are used for: turning the photo into a simplified stitch rendering of your pet’s face, main fur colours and signature markings, and checking the finished piece against it.
  • When they are deleted: 30 days after your order is delivered. That window gives you time to raise any question about the finished piece while we can still look at the photo you sent.
  • Earlier deletion: if you would like the photo deleted sooner, email us. If the order has not been stitched yet, deleting the photo means we cannot make it, so we will check with you first.

Example: Dana orders the Custom Pet Face Embroidered Crewneck for her border collie Milo and emails two daylight photos. The crewneck is delivered on a Monday. Both photos and the email attachments are removed 30 days later. Her order record still shows that she bought a Heather Grey crewneck in size M with the name MILO, because we need that for returns and accounting, but the image files are gone.

4. Who we share information with

We share personal information only with the services needed to run the store, and only as much as each one needs:

  • Production and shipping partners receive your shipping name and address, the items ordered and, for custom pieces, the photo and personalisation details needed to stitch them.
  • Delivery services receive the shipping name, address and parcel details so they can deliver your order.
  • The payment provider shown at checkout receives the payment details you enter there. It processes the payment under its own privacy policy and tells us only whether the payment succeeded, plus limited details such as the last digits of a card.
  • Hosting, email and security providers store and protect the website, our inbox and our records on our behalf.
  • Authorities where the law requires it, for example a valid legal request, or to protect customers from fraud.

We do not sell personal information, we do not rent our customer list, and we do not share your information with advertisers. If the business were ever sold or merged, customer records would move to the new owner only under the same promises made in this policy, and we would tell you.

5. Cookies and similar technologies

Our site uses cookies that are necessary for a shop to work: keeping items in your cart, remembering that you are logged in, protecting the checkout and remembering choices such as the Color and size you selected. Our security service may set a cookie to tell real visitors apart from automated traffic. We do not use third-party advertising cookies or cross-site tracking pixels. You can block or delete cookies in your browser settings, but the cart and checkout will not work properly without the necessary ones.

6. How long we keep information

Retention periods
RecordHow long
Pet photos and their email attachmentsDeleted 30 days after delivery
Order records (items, prices, addresses, personalisation text)As long as tax, accounting and consumer-law rules require, then deleted
Support emails without photosAs long as needed to handle your request and any follow-up
Customer accountsUntil you ask us to close the account, apart from order records we must keep
Technical logsKept for a short period for security, then overwritten

Store credit balances are kept on your record because store credit never expires; if you ask us to delete your account while you still have credit, we will remind you of the balance first.

7. How we protect your information

The whole site runs over an encrypted HTTPS connection, including the checkout and the account pages. Access to our admin area and support inbox is limited and password protected. Payment details are entered with the payment provider at checkout rather than stored in our database. No system is perfectly secure, so we also keep what we hold to the minimum: we delete photos on a fixed schedule and we never ask you to send card details by email. If we ever learned of a breach affecting your information, we would tell you and the relevant authorities as the law requires.

You can help too: use a unique password for your account, do not share order emails publicly, and never reply to a message asking for your card number in our name. We will never ask for it.

8. Your rights and choices

Wherever you live, you can ask us to:

  • tell you what personal information we hold about you and send you a copy;
  • correct information that is wrong, such as a misspelt name or an old address;
  • delete your information, including your pet photos, unless we must keep an order record by law;
  • stop using your information for a purpose you object to;
  • move your order data to you in a common, readable format.

Residents of California, other US states with privacy laws, Canada, Australia and New Zealand have specific rights under their local laws, and we honour them through the same process. We do not sell or share personal information for cross-context advertising, so there is nothing to opt out of in that sense, but you can still ask us any question about it. We will not treat you differently for using your rights.

To make a request, email support@wovenpaw.shop from the address used for your order, with “Privacy request” in the subject. We may ask for your order number to confirm it is really you. We reply within 24 hours on business days and complete requests within the time your local law allows.

9. Children

Our store is meant for adults. We sell a kids tee, but it is bought by parents and other adults. We do not knowingly collect personal information from children under 13 (or the age set by local law). If you believe a child has sent us information, tell us and we will delete it.

10. Visitors from outside the United States

We sell to customers in the United States, Canada, Australia and New Zealand, and the business is based in the US. Your information may be stored and processed in the United States and in the countries where our service providers operate. We take steps so that it stays protected under this policy wherever it is handled.

11. Links to other sites

Our pages may link to outside services, for example the payment page of the provider shown at checkout or a delivery service’s website. Those sites have their own privacy policies, which we do not control. Read them before entering information there.

12. Changes to this policy

If we change how we handle information, we will update this page and the date at the top. If a change is significant, for example a new type of service receiving your data, we will also say so clearly on the site. Orders already placed are handled under the version that applied when you ordered, unless the new version gives you more protection.
